EBOVAC-SALONE CLINICAL STUDY
EBOVAC-Salone is a clinical trial which aims to evaluate the safety and immunogenicity of a promising “prime boost” Ebola marklate (vaccine) manufactured by Janssen Crucell B.V. The study is currently ongoing in Kambia district initially, enrolling participants who will be vaccinated and monitored in the study clinic in Kambia town.
The study, which is anticipated to take around 12 months, will be conducted in healthy volunteers and is implemented by the University of Sierra Leone (USL) and the London School of Hygiene & Tropical Medicine (LSHTM), under the auspices of the Ministry of Health and Sanitation (MoHS).

JOB DESCRIPTION
LABORATORY ADMIN OFFICER ROLES & RESPONSIBILITIES
OVERALL RESPONSIBILITY: Laboratory information (text based or numerical logging into spreadsheets or databases), Archiving and retrieval of Laboratory information.
SPECIFIC ROLES
- Prepares source data for computer entry by compiling and sorting information.
- Processes Laboratory source documents by reviewing data for deficiencies; resolving discrepancies by using standard procedures or returning incomplete documents to the team leader for resolution.
- Enters Lab data by inputting alphabetic and numeric information on keyboard. or optical scanner according to screen format.
- Maintains database by entering new and updated Laboratory results and participant’s information.
- Verifies entered Lab data by reviewing, correcting, deleting, or re-entering data; combining data from both systems when participant’s information is incomplete; purging files to eliminate duplication of data.
- Tests system changes and upgrades by inputting new data; reviewing output.
- Secures information by completing data base backups.
- Protects operations by keeping information confidential.
- Maintains operations by following policies and procedures; reporting needed changes.
- Generate reports, store completed work in designated locations and perform backup operations.
- Scan documents perform photocopying and print files, when needed.
- Respond to queries for information and access relevant files.
- Maintain and update workflow record regarding work completed and work pending.
- Ensure proper use of Lab ICT equipment and address any malfunctions
- Answer and direct phone calls.
- Organize and schedule appointments.
- Plan meetings and take detailed minutes.
- Write and distribute email, correspondence memos, letters, and forms.
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a filing system.
- Update and maintain office policies and procedures.
- Order internal Lab and office supplies from the Ebovac store.
- Maintain contact lists
- Any other duty.
QUALIFICATIONS AND SKILLS:
- Higher Diploma or Degree in Information Technology, skills in Office Management will be an added advantage.
- Proven data entry work experience, as a Data entry operator or Office clerk Experience with MS Office and data programs
- Skills in paying attention to details and input data correctly and accurately.
- Excellent knowledge of correct spelling, grammar and punctuation
- Organization skills, with an ability to stay focused on assigned tasks
- Well familiar with available software programs for data management, as well as with a diverse range of office machines, including printers
- Excellent time management skills and the ability to prioritize work
- Adhere to data procedure and program techniques when performing data entry duties
- Maintains data entry requirements by following data program techniques and procedures.
- Comply with data integrity and security policies
